Business Hours

LePiatz Psychology, LLC, is typically open for business from 9am to 6pm Monday through Thursday, and from 9am to 1pm on Fridays. Emails and voicemail messages that are sent outside of those hours are not retrieved until the following business day, and will be responded to accordingly unless otherwise indicated. In addition, LePiatz Psychology, LLC, is closed for most major public holidays. Any other closures will be indicated on the voicemail for LePiatz Psychology, LLC, or on Dr. Pittman’s autoreply message via email.

Appointments

When appointments are scheduled, a confirmation text or email is sent directly from the practice management system that LePiatz Psychology, LLC uses. A subsequent reminder text or email is sent 48 hours before the scheduled appointment (when the appt has been made more than 48 hours in advance), within which is the link that will be used for the telehealth appointment. That same reminder text will also include an option to cancel or confirm the appointment. Please note that every client/parent is responsible for making note of the appointments, and that not receiving the text or email reminder will not result in waiving of missed appointment fees. If/When there are questions about appointments, it is best to email Dr. Pittman, directly.

Missed Appointment Policy

With Telehealth, it is expected that individuals will be able to keep their virtual appointments. If no phone call or message is received, and the client does not attend the session nor make arrangements to re-schedule, then the session will be billed at the full out-of-pocket rate, which is not reimbursed by insurance. Clients will be contacted, via phone and/or email, as soon as possible, if Dr. Pittman is unable to provide services.

Emails

Email is used by Dr. Pittman as a means by which to communicate about logistics related to appointments. Information of a sensitive nature, especially information that is clinical in nature, should not be shared via email. All clients will have access to a HIPAA-compliant, confidential client portal, which has a messaging system that employs the same HIPAA-compliant structure for communication. Sensitive and/or clinical information should be sent to Dr. Pittman using that client portal. Please note that any emails or portal messages that are significant in length and require time to read and respond to will be subject to an administrative fee.
